User Types: A Quick Overview
Before diving in, let’s define the key user roles in Coach:
Administrators have access to aggregate user data, can manage licenses, and can add Advisors.
Advisors Users (typically staff members) who manage a subset of your learner population. Advisors can create assignments, invite learners to their cohorts, and track basic usage and impact data for the learners in their cohorts.
Learners Users (typically students or program participants) who engage directly with Coach to build career skills or seek guidance and information.
What Is a Cohort?
A cohort is a way of organizing your learner population. Cohorts are especially useful if you have a large number of learners or if you're running Coach across multiple time periods, like academic semesters.
Creating a Cohort
- From your License Management section in Coach, navigate to the Cohorts tab
- Click + New Cohort.
- Enter a name for your cohort.
- Optionally, add learners by uploading a CSV file or adding them individually. You can also skip this step and add learners later.
- Click Next, review your settings, then click Create.
Adding Learners
There are a few ways to add learners to Coach.
Option 1: Cohort Invitation Link (Recommended)
This is the easiest method. When learners sign up using a cohort-specific link, they are automatically placed into the correct cohort.
To get the link:
- Scroll to Cohorts on your dashboard.
- Click on the Cohort to preview.
- At the bottom of the preview box, click the copy icon next to the Cohort Invitation Link.
- Share this link directly with the learners who belong to that cohort.
Option 2: Add Learners Manually
- Navigate to the Learners tab on your dashboard.
- Click Add New Learner.
Add learners one by one or upload a properly formatted CSV file.
Once added this way, learners will receive an email notification from "The Coach Team" with instructions for creating their account.
Option 3: Add Learners & Cohort Simultaneously
While creating a Cohort, you can add Learners or grab a unique Cohort invitation link at the same time.
